The Challenge

!Fleet operators had no real-time visibility into vehicle locations, delays, or driver behaviour, relying instead on radio check-ins and phone calls that were sporadic and unreliable. Dispatchers routinely discovered a bus was running late only after a parent or corporate client called to complain, leaving no time to proactively manage the disruption.
!Manual route planning, done in spreadsheets by two senior planners, led to inefficient fuel consumption and overlapping schedules across the school and shuttle networks. Routes were rarely rebalanced when ridership shifted, so some vehicles ran near-empty while others were overcrowded during peak drop-off windows.
!Safety incidents such as harsh braking, speeding, or unauthorised route deviations could not be detected or escalated in real time from the operations centre. Supervisors typically learned about an incident days later from a driver's incident report or, worse, from a parent complaint, by which point corrective coaching was far less effective.
!Parents of school-age children and corporate shuttle riders increasingly demanded live ETAs and proof-of-journey notifications similar to what they experienced with consumer ride-hailing apps. Our Solution

Built a Fleet Command Centre web application giving dispatchers live GPS tracking and vehicle status overlays on an interactive map, replacing radio check-ins with a single real-time operational view of the entire fleet. Dispatchers can now see every vehicle's position, speed, and route adherence at a glance.
Developed an automated route optimisation engine that rebalances passenger load, travel time, and fuel cost whenever ridership patterns shift, rather than relying on static spreadsheet plans.
